Projects is what Ziggu is all about. As such, it's often the first step you'll have to deal with when you start using the platform. In this article, we discuss all the details of Projects and how best to get started with them!
In this article:
Switch between Projects
Click on ‘Projects’ in the horizontal navigation bar and get a handy overview of all the projects within your Ziggu account. Easily switch between these projects by selecting the project name.
New project
Starting a new project? That's great news! The Ziggu team is ready and happy to help you get started. As shown above, click on ‘Projects’ and then ‘+ Project’.
Project name
After clicking the ‘+ Project’ button, you will first need to enter the name of your new project.
Project structure (Only for Projects with multiple Units)
A project structure can have 3 levels between the project and units: phases, lots, and buildings. These levels are optional and what you choose will depend on the size of your project and the construction process.
Use a template project as a base?
The next step is to determine whether you want to use a template project as the basis of the new project. Select your template project from the list and then choose which items you want to copy to your new project.
Template Projects
Importing Units, Contacts and/or Rooms
With a new project, you will undoubtedly have new Units, but possibly also new buyers/customers and/or new Spaces. Are there a handful of these? Then it may be useful to import them automatically via the Ziggu Import functionality.
For everything to run smoothly, we recommend importing data in the following order:
Import Spaces
Importing Contacts
Importing Units
Tip: Does your project contain fewer than 20 units? Importing units and spaces does not save much time. We are happy to import a list of home buyers.
Importing Rooms & Contacts
We can import the data regarding your project. Complete the spreadsheets below and send them completed to us via the blue button. There are 2 spreadsheets available:
Step by step guide:
Download the spreadsheet as a Microsoft Excel file so you can edit it.
Read the ‘Start Here’ section.
Fill in the data on the second sheet. If the data is stored in a CRM system, you may want to export it into an Excel file first so you can easily copy it.
Save as an Excel or CSV file and share via chat (at the bottom of your screen).
It's possible to assign a customer to a unit with the unit import in the next section, but this can only be done with customers who are already in your contacts. If you want to work like this: First create a list of contacts in the spreadsheet linked above, send it to us, and import the units after we added your contacts.
Importing units
Once your project is live, you can import units yourself. To do this, first go to your project. On the ‘Information’ page, select the level for which you want to import units.
Click the ‘Import units for [name]’ button in the ‘Unit’ column and a new window will open.
Importing units consists of 3 steps:
Download the Excel spreadsheet containing the template
Fill in the Excel spreadsheet with the necessary information about the units of that level
Upload the Excel file back
If you have made a mistake in the Excel file, such as entering the wrong type of information in a column or misspelling a customer's name, you will get an error message after uploading the file. You will see the row and column where exactly it went wrong so you can easily fix it. Units will not be added until you correct all the errors in the file.
Following and Unfollowing Projects
If you follow a project, it will appear in ‘My Projects’. On the other hand, you can also choose to unfollow Projects, in which case they will appear in ‘Other Projects’. The main difference between the two is whether or not you receive notifications for these projects.
Following or unfollowing a project is done by going to the project overview and then selecting the three dots next to a project. Here you will then be given the option to ‘Follow’ or ‘Unfollow’ this project.
Tip: You can also adjust the following or unfollowing of projects in your Profile settings.
