Create payment schedules

Step 1: Create a payment schedule

Add a title and optionally a description. You can change this information later if needed. Don't worry if you're not 100% sure!

Also set the deadline by which the payment must be fulfilled. You can also choose when to send reminders to the client.

Step 2: Select the units to which the schedule applies (Only for projects with multiple units)

Determine which units the payment schedule applies to (only for projects with multiple units). You can choose the entire project, a specific phase, or just a few units. This selection is also adjustable later.

Step 3: Compile the payment schedule

Determine whether you want to use a fixed amount (€) or a percentage (%); switch between them with the arrows. Then specify the purpose of the payment schedule in the last field. Use the '+ new rule' button to add extra lines.

Tip: Use one of the handy shortcuts to add all current extra works or all unit prices in one click!

Did you know that you can add extra categories in the settings (besides extra works and unit prices)? Go to settings, then to Finances and add your own categories!

You can select these categories later when determining the amount. You will find them under the 'Other' folder.

Payment schedule overview

At the top of the overview, you follow the progress of this payment schedule. There are three available statuses:

  • Paid (excl. VAT)

  • Invoiced (excl. VAT)

  • Expected (excl. VAT)

At the bottom, you will find an overview of all Units for which this payment schedule has been created, including all details. Please note: once these amounts have been confirmed, it is no longer possible to adjust them, as they are tied to a decision!

Adjusting unit payment schedules

Publish

You publish the payment schedule using the 'publish' button. First, select the units you wish to publish.

Uploading an invoice

Create a digital financial file for your client by keeping all invoices in Finances. Upload them easily by clicking 'add'. You can upload multiple files, and the file formats jpg, png, and pdf are permitted. The client sees the invoices per payment schedule. Clear and organized!

Editing the payment schedule of one or more units

To adjust a payment schedule for one or more units, tick the relevant unit(s) and then click 'Edit'.

Fields you can edit:

  • Deadline

  • Status

  • Description

  • The date of the specific invoice

Overview per unit (Only for projects with multiple units)

Click on the unit name to view the details of the payment schedule; these are the rules you defined in step 3. To see all created payment schedules for this unit, click 'go to unit payment schedules'.

Tip: Click on the name of the payment schedule to return to the payment schedule overview.
